The Art & Wine Fest

 

EXHIBITOR RULES AND REGULATIONS

The staff of The Art & Wine Fest would like to thank you for your participation in our shows.  We work very hard to make every show a great success.
In order for you to help us make our shows the best they can be, we have established some guidelines. To participate in our events, you are required to observe the following rules and regulations . . .

 

1) All applications must be accompanied by 3 jpgs of your work represented and 1 jpg of your display.  Applications will not be reviewed without a display image.  Images should show full view of your display and work clearly.

2) All categories shall be reviewed, and screened prior to acceptance.  Any media NOT approved during the application process shall be removed. Separate jpgs for each category to be displayed must be submitted. Exhibitors may only sell work approved prior to the show.

 

3) The approved exhibitor will occupy his or her booth at all times. Subletting or sharing of space may be permitted with approval by the director of exhibits.

 

4) Each exhibitor is responsible for collecting the State Sales Tax and filing a report with the Department of Revenue.  Where applicable, a tax I.D. number may be required. 

 

5) An accepted application is a commitment to display your work during ALL scheduled hours of the show.  No refunds are issued for cancellations; however, credit will be issued if notification is made at least 4 weeks prior to the show, minus the one hundred dollar deposit.  Acceptance to a past shows is no guarantee that the exhibitor will be accepted to exhibit in a future event.  Exhibitors are responsible for full payment of show fee if cancelled less than 4 weeks prior to event.

 

6) PAYMENT IN FULL IS DUE AT TIME OF APPLICATION UNLESS SPECIAL ARRANGEMENTS ARE MADE WITH THIS OFFICE. Make your checks payable to Arts & More Gallery. Failure to pay in full 30 days in advance may result in forfeiture of show space. Remember, full payment is still due if cancellation is made less than 4 weeks prior to the event — No exceptions! (A $35 bank fee will be charged on all returned checks).

 

7) Artists must use their own means of display, which must be sufficiently sturdy to withstand crowds. Each artist is responsible for his or her own display in case of loss or damage. Each booth will contain: a table with two chairs. Electricity can be provided at addition charge and may be arranged through the exhibit director.  

 

8) Displays must be professional and aesthetically pleasing.  All booths will be 10 X 10 and require white tents for all indoor and outdoor areas, Handwritten signs and sale signs are prohibited.  Ribbons from previous shows may not be displayed. The object is to make your 10’ x 10’ booth a storefront. Exhibitors will leave their exhibit space clean after packing up on Sunday evening. 

 

9) Exhibitors will have a choice of booth size.  Exhibitors will not take up any additional space without first consulting shows coordinator. ALL WORK, DISPLAY AND STORAGE WILL NOT GO BEYOND THE ASSIGNED EXHIBITOR SPACE. Your booth should not interfere with your neighbor’s booth. Show director shall make the final determination.

 

10) The exhibitor’s space shall be occupied by 11:00 a.m. the morning of the show, otherwise the exhibitor will be considered a “no-show” and his or her space may be given away with no possible refund or credit. Vehicles must be removed by 10:15 a.m. unless otherwise specified. Tardy exhibitors may be excluded from setting up.

 

11) SET-UP AND BREAKDOWN TIMES WILL BE STRICTLY ENFORCED. YOU MUST ARRIVE AT THE SPECIFIED TIME.  BREAKDOWN WILL NOT BEGIN UNTIL THE END OF THE SHOW.  VEHICLES WILL NOT BE PERMITTED NEAR THE EXHIBIT AREA UNTIL ALL VISITORS HAVE LEFT THE AREA, USUALLY 1 HOUR AFTER THE END OF THE SHOW.  THE SHOW DIRECTOR WILL HAVE THE FINAL DECISION ON THIS SAFETY PRECAUTION.

 

12) Due to insurance liability, exhibitors are NOT allowed to bring pets or any animals to the event.

 

13) If you have a problem at the show, you should communicate immediately to the show director, Lau Nae Winery staff members, or The Art & Wine Fest staff member.  To get your problem solved immediately, go right to the top. We are here to create great events and make things happen.  We must all act with a great degree of professionalism.

 

14) All rules will be strictly enforced. Failure to comply with rules or unruly behavior by the exhibitor or any assistants will cause immediate expulsion from the present show and will eliminate exhibitor from future events. Management reserves the right to make final interpretation of all rules.

 

15) This contract shall be deemed to have been made in the State of Illinois and shall be interpreted in accordance with the laws of the State of Illinois . All legal action to enforce this agreement shall be brought into the courts of Randolph County , Illinois , and the exhibitor agrees to the jurisdiction of the courts.

 

The Art & Wine Fest will not assume liability for any act of God, natural disaster, exposure to adverse weather conditions, damages, injuries or any legal authority, or any cause beyond the control of The Art & Wine Fest, Lau Nae Winery and/or Arts & More Gallery.  We appreciate everyone's cooperation and look forward to a very successful event thanks to you.
